This notice explains how the Accessican team handles information through the Accessican website and institutional service portal. An institution’s signed service and data-processing agreements may provide additional requirements for its records.
Information we collect
- Website inquiries: your name, email, organization, selected topic, message and contact permission.
- Account information: name, email, institution membership, assigned roles, password hash and authenticator settings.
- Service records: early-screening responses, requests, vendor evidence, review findings, scoring explanations, communications, institutional decisions, uploaded files and report history. Inventory records also include owners, data classifications, renewals and security coordination metadata.
- Billing information: agreements, purchase orders, invoice references, payment status and external-payment records entered by an authorized operator.
- Operational information: sign-in and security events, timestamps, audit records, processing failures and queued notifications. Security records help prevent misuse; hosting services may also retain access logs.
How information is used
We use this information to respond to inquiries, provide and administer the agreed service, control institutional access, process authorized requests, maintain an audit history, communicate about reviews and billing, and protect the service against misuse. Inquiries do not subscribe you to a marketing newsletter.
Institutional records and authorized access
Institutional records are available to authorized users of that institution and authorized service personnel according to their roles. Access is limited to authorized users and service personnel. Institutions should upload only information they are authorized to provide and avoid unnecessary personal, student, medical or other sensitive records.
Document processing and confidentiality
Accessican is responsible for the professional assessment and quality review of delivered reports. Use of an outside processing provider requires the institution’s written authorization and agreed data-handling terms. Do not provide student records or other sensitive personal information unless it is necessary and expressly covered by the agreement.
Payments and other service providers
Secure payment pages collect card or eligible bank-payment details. Accessican retains payment references and status rather than full card or bank account numbers. Hosting, email and payment service providers process information needed to deliver the service under applicable agreements. Customers may request information about applicable service providers and data-handling arrangements.
Cookies and display preferences
The application uses a session cookie for sign-in, form security and session preferences. High contrast and text zoom are remembered independently in the current browser session. We do not use advertising trackers on this website.
Retention and deletion
Records remain stored until removed through an authorized operational process. The institution’s agreement governs retention and disposition of its service records. Audit, billing and backup copies may need different retention because of contractual, accounting, security or legal obligations. Deletion requests require verification and may involve backup-retention cycles; this application does not promise instant deletion from every backup.
Your questions and requests
Use the contact form and choose Privacy request to ask about access, correction, deletion, retention or the providers used for your institution. Do not send identity documents or confidential records through the public form. We may need to verify your identity and authority before acting on a request.
Changes to this notice
Updates will appear on this page with a revised date. Any institution-specific notice or consent obligations remain governed by its applicable agreement.
